1. General Refund Policy
We understand that circumstances change and you may need to cancel your event registration. Our refund policy balances fairness to participants with the operational realities of event planning.
Important: Refund eligibility depends on when you cancel relative to the event date. Earlier cancellations receive higher refunds to allow us time to fill your place.
2. Participant Cancellations
2.1 Cancellation Timeline and Refunds
If you need to cancel your event registration, refunds are calculated as follows:

2.2 How to Request a Cancellation
To cancel your registration and request a refund:

- Provide your full name and event details
- Include your booking confirmation number if available
- Submit your cancellation request as early as possible
Cancellation requests must be received in writing (email or contact form). Cancellation timing is calculated from when we receive your written notice, not from when you decided to cancel.
2.3 Refund Processing
Once your cancellation is approved:
- You will receive confirmation within 2 business days
- Refunds are processed within 5-10 business days
- Refunds are issued to the original payment method
- Bank processing times may add 3-5 additional business days
3. Transferring Your Registration
3.1 Transfer to Another Person
If you cannot attend but know someone who would like to take your place:
- You may transfer your registration to another person free of charge
- Transfers must be requested at least 48 hours before the event
- Provide the substitute attendee's full name and contact details
- The substitute attendee must meet any age or eligibility requirements
- Contact us to arrange the transfer
3.2 Transfer to Another Event Date
If the same event is scheduled on another date, you may request to transfer your registration:
- Transfers to future dates are subject to availability
- Request transfers at least 7 days before your original event
- One free transfer is permitted per booking
- Additional transfers may incur an administrative fee of £10
4. Jackshire.site Cancellations and Changes
4.1 Event Cancellation by Jackshire.site
If we must cancel an event, you will receive:
- Full refund (100%) of all fees paid
- Notification as soon as possible (typically 7+ days notice)
- Option to transfer to an alternative date if available
- Refunds processed within 5-10 business days
4.2 Event Modifications
We reserve the right to make reasonable changes to event details, including:
- Venue location (within the same general area)
- Event time (with advance notice)
- Facilitator or speaker changes
- Minor programme adjustments
Significant changes: If we make substantial changes (major venue change, significant time change, or fundamental programme alteration), you may choose:
- Accept the changes and attend as modified
- Transfer to another event date
- Receive a full refund
4.3 Minimum Attendance Requirements
Some events require minimum participant numbers. If insufficient registrations are received:
- We will notify you at least 7 days before the event
- You will receive a full refund or may transfer to another event
- No penalties or fees apply
5. Force Majeure (Circumstances Beyond Our Control)
If events are cancelled due to circumstances beyond our reasonable control, including:
- Natural disasters (floods, storms, earthquakes)
- Public health emergencies (pandemics, disease outbreaks)
- Government restrictions or venue closures
- Transportation disruptions
- Other unforeseeable events
In these situations:
- We will offer rescheduling to a future date when possible
- If rescheduling is not feasible, you will receive a full refund
- We are not liable for consequential losses (travel costs, accommodation, etc.)
6. No-Show Policy
If you fail to attend an event without prior cancellation notice:
- No refund will be issued
- Your registration fee is forfeited
- This allows us to maintain event quality and planning accuracy
Exceptions: If you miss an event due to genuine emergency (medical emergency, family crisis, etc.), contact us immediately. We will consider requests on a case-by-case basis.
7. Partial Event Attendance
If you attend only part of an event:
- No partial refunds are available
- Leaving early or arriving late does not entitle you to a refund
- Event fees cover access to the full event, not time-proportional charges
8. Free Events
For events with no registration fee:
- Please cancel if you cannot attend to free up space for others
- Repeated no-shows for free events may result in restricted future registrations
- We appreciate courtesy cancellations to manage attendance effectively
9. Group Bookings
For group registrations (3+ people):
- Individual cancellations within a group follow standard refund timelines
- Partial group cancellations may affect any group discount received
- Contact us to discuss specific group cancellation scenarios
10. Special Circumstances and Exceptions
We recognise that exceptional circumstances occur. If you face:
- Serious illness or medical emergency
- Family bereavement
- Unforeseen crisis situations

11. Administrative Fees
No administrative fees are charged for cancellations processed within our standard refund timeline. However:
- Payment processing fees charged by third-party providers may not be refundable
- International transaction fees are not refunded
- Multiple transfer requests may incur a £10 administrative charge
12. Complaints and Disputes
If you are dissatisfied with your event experience:
- Contact us within 7 days of the event
- Provide specific details about your concerns
- We will investigate and respond within 10 business days
- Resolution may include partial refunds, credit toward future events, or other appropriate remedies
13. Consumer Rights
This Refund Policy does not affect your statutory rights under UK consumer protection law. You have legal rights regarding:
- Services not provided as described
- Services not performed with reasonable care and skill
- Misrepresentation or false information
